How to sell physical gift cards on POS Mode (blank / not pre-encoded)

Overview

If you have 'blank' gift cards/vouchers in your venues i.e. cards or paper vouchers that do not have codes already printed onto them (or encoded into a magstripe or QR code) and you'd like to activate them with a Toggle code, this guide is for you.

A visual example of a 'blank' gift card/voucher could be one like shown below. As you can see it requires you to write down a voucher number for the customer to use later on when they redeem it.

This guide will show you how to generate a voucher number to write onto your cards/vouchers in your venues using POS Mode.


Configure your settings...

Before you start you will need to make sure your settings are correct so the system knows to generate a Toggle code for you when selling a card on POS Mode.

On the main Toggle dashboard:

  1. Log in to Toggle

  2. On the sidebar click Settings and General

  3. Select No for "When selling physical cards, do you have numbers pre-printed or encoded on your card stock?"

  4. Press Save


How to sell a physical gift card (that's not pre-encoded)

1 - Getting started...

Firstly, log in to POS Mode and if needed select your site (more info on that part here) and then click on the tab in the top left corner and click Home.

Then click on the Sell a card option.

2 - Sell a card and Physical

After you've clicked Sell a card you will see a screen where you need to:

  • Select a card to sell

  • Select a price to load the card with

  • Select if the card will be physical or digital

The cards and pricing available on this section is based on what products (and respective price points) you have set up and are 'live' on your main dashboard, on the Shop page.

Once you have picked the card and price, select the Physical option.

3 - Taking payment or issue free of charge πŸ–₯οΈπŸ’΅

After selecting Physical and clicking the right arrow, you'll be presented with two options:

  • Confirm payment has been taken. Pick this option if the customer is paying for the gift card. Payment must be taken externally from POS Mode e.g. via your card payment device or in cash. Once this part is completed click the right arrow button to go to the next screen.

Or, select -

  • Issue card free of charge. Sometimes you might need to issue a gift card for free - maybe as a goodwill gesture or for a competition prize. If you select this option you must give a reason for giving it away for free before you can proceed to the next screen and this reason show up on the Toggle reports.

Please note that the user's name will show up on the Toggle reports, so you can trace team members who issue gift cards free of charge.

4 - Enter the email address for receipt email (or not) βœοΈπŸ“§

The next screen will ask where to send the receipt email to. You have two options:

  • Don't sent a receipt email. You have the option to just click the right arrow to skip this screen and not send any receipt email, if the customer prefers this option.

  • Send the receipt email to the purchaser. If the person buying the gift card would like a receipt email sent to them you just need to enter their email here.

5 - Success! You now have a code to use! πŸ—’οΈβœοΈ

Once you press the right arrow the next screen you'll see will say "Success! Transpose this code onto card...".

Once you have written the long number and the pin number onto your voucher, tap Finish to return to the home screen.

This is the moment the receipt email is also sent to purchaser's email addresses (if you filled out the email on the previous screen) - this should land in the inbox immediately.

On the left is how the physical voucher might look for your customer after you have written out the codes (of course your vouchers might be designed much differently!) and on the right is how the receipt email might look when opened.

To customise your receipt emails with wording, imagery, and links go to Customise > Receipt email on your Toggle dashboard.

The PIN number provided can be used by the customer to register their card or check its balance/ expiry date.


How to remove sell a card button on POS Mode

"Front of House Staff" users are the only user role that cannot see or access the Sell a card button on POS Mode.

However, if you would like to make Sell a card unavailable for all user roles / team members you can switch it off on your Toggle dashboard on Settings > General and set the "Show 'Sell A Gift Card' Button In POS mode?" to No.
