How to Download & Understand the Emails Report

The Emails Report in Toggle provides a list of customers who have purchased or received a gift card or product, along with their marketing consent status.

You can download it as a CSV file and open it in Excel or similar programs to analyse the data.

How to Download the Emails Report

  1. Log in to your Toggle account.

  2. Click Data in the sidebar.

  3. Select Emails.

  4. Click the calendar icon and choose a date range (based on order creation date).

  5. Click Add to queue to generate the report.

  6. Once ready, hit the green download button to save the file.

What’s in the Emails Report?

This report includes:

  • Names & email addresses of customers who purchased or received a gift card or product.

  • Marketing consent status – whether a customer has opted in for marketing emails (with date and time).

Key Data Fields Explained

  • ID – Internal identifier for opt-ins (not searchable in Toggle).

  • First & Last Name – Entered by the customer at checkout or during card registration.

  • Email – The purchaser’s or recipient’s registered email address.

  • Recipient – A ‘1’ indicates the email belongs to a gift card recipient.

  • Purchaser – A ‘1’ indicates the email belongs to the purchaser.

  • Consented At – Shows the date and time of marketing consent opt-in (blank means no consent given).

Understanding Marketing Consent in Toggle

Why are there more purchaser opt-ins than recipient opt-ins?

  • Purchasers must choose to opt-in or out at checkout, so opt-ins are more common.

  • Recipients don’t need to register their gift card to use it, meaning many won’t visit the opt-in page.

Who can’t opt-in?

  • Retail product recipients – They don’t need to register their product, so they won’t be prompted to opt-in.

  • In-store gift card buyers – Customers who purchase a gift card at a physical location aren’t given an opt-in option.

Can opt-in status change over time?

Yes! A recipient might register their card and opt-in months after receiving it. If you're manually tracking opt-ins, it's a good idea to re-download older reports (6–12 months back) to capture new opt-ins.


How to Use the Emails Report for Marketing

Using Airship CRM

If you use Airship CRM, you can connect it to your Toggle account. This automatically syncs opt-in data, so you can send marketing emails without manual imports. Learn how to connect Airship with Toggle here.

Using Other Email Platforms (e.g. MailChimp)

If you use another email platform, you have two options:

  1. Manual Import: Download the Emails report weekly or monthly and upload opted-in customers to your platform.

  2. Automated Sync: Use Toggle’s webhooks to automatically send opt-in data to your email platform (requires a developer).
