If you need to hand or post a physical gift card to a customer, you can create a free of charge (foc) card in the dashboard and activate it using the card's unique code.
Note: If you already use Toggle for online fulfilment, you may not have access to Postage Settings. Contact us and we’ll complete Step 1 for you.
Step 1: One-Time Setup
Complete this once. Future activations can skip to Step 2.
1. Create a Postage Category
Dashboard > Settings > Postage Categories
Click Add postage category
Category Name: e.g. Free postage (internal fulfilment)
Service: Other
Tracked?: No
Click Add
2. Create a Postage Option
Dashboard > Settings > Postage Options
Click Add postage option
Postage Category: Select your new category
Fulfilment provider: Dashboard
Internal reference: e.g. Internal fulfilment
Price: £0.00
Leave quantity/value limits blank
Set live?: Yes
Click Add
3. Create an Internal Gift Card Product
Dashboard > Shop > Add > Gift Card
Name: e.g. Brand Physical Gift Card (Internal Fulfilment)
Add values & expiry rules
Product status: Private or Inactive
Fulfilment type: Physical
Postage Types: Select your £0.00 internal option only
Click Save
Step 2: Activate a Physical Card
1. Create a free Order
Dashboard > Purchases > Orders > Create New
Select your internal physical gift card
Choose the card value
Set quantity (max 50 per order)
Delivery method: Postal
Optional: Add note/reference (appears in reports)
Click Add delivery
Enter customer or your office address (because you're posting this / handing this out independently the address here isn't too important)
Select Internal fulfilment postage
Click Create Order
2. Enter the Unique Code
Dashboard > Purchases > Orders
Open the new Pending order
Click the edit icon
Enter the 19-digit unique code
No spaces
Or swipe via magstripe reader
Confirm using the green tick
Click Mark as dispatched
✅ The card is now activated.
Hand it to the customer or post it.
