How to Download & Understand the Liability Report

The Liability Report provides a snapshot of all purchased gift cards that have not yet been redeemed or expired. You can run this report to see the outstanding balance at any given date.

You can download it as a CSV file and open it in Excel or another spreadsheet programme to view and analyse the data.


How to Download the Liability Report

  1. Log in to your Toggle account.

  2. Click Data in the sidebar.

  3. Select Liability.

  4. Click the calendar icon and choose a date and time to check the liability at that moment.*

  5. Click Add to queue to generate the report.

  6. Once ready, click the green download button to save the file.

* Time Zone Note: Any date and time fields in the report will be displayed in UTC (Coordinated Universal Time), aligned with your account’s time zone.


What’s in the Liability Report?

This report tracks all gift cards that are still active, providing key details such as initial balance, remaining value, expiry date, and applied discounts.

Key Data Fields Explained

Order & Card Details

  • Order ID – Internal ID used to search for a card in the Purchases section.

  • Card ID – Internal ID specific to the gift card (not searchable on dashboard)

  • Creation Date – The date the gift card was issued.

  • Card Unique Code – The unique code used to redeem the gift card balance.

  • Unique Code Alias – If gift cards were imported from another provider, their original codes will appear here.

Card Value & Expiry Information

  • Value at DD/MM/YY 00:00 (UTC) – The card's balance at the selected snapshot date.

  • Discount Value at DD/MM/YY 00:00 (UTC) – Any discounts or additional value applied at that time.

  • Expiry as of DD/MM/YY 00:00 (UTC) – The gift card’s expiry date at the time the report was run.

Initial Card Value & Promotions

  • Initial Top-Up Value – The first balance loaded onto the gift card at purchase.

  • Initial Discount Type – Labels discounts as ‘Promotion’, ‘FOC’ (Free of Charge), or ‘Balance Import’.

  • Initial Discount Value – The value discounted or added (if it was a value-added promotion).

  • Initial Promotion Name – If the discount came from a promotion, its name appears here (set in the Promotions section of your dashboard).

Sales & Purchase Information

  • Product Name – The name of the gift card.

  • Experience Sub-Category – If applicable, the name of the experience category the card falls under.

  • Sales Channel – Where the order was placed (e.g. Toggle dashboard, in-store, B2B, web store).

  • Sold in Site – If purchased in a physical venue, the site’s name appears here.


How Can You Use This Report?

  • Monitor Liability – Track the outstanding balance of all unredeemed cards.

  • Analyse Sales Trends – Identify purchase patterns across different sales channels.

  • Manage Promotions – Assess the impact of discounts and promotions.

  • Ensure Compliance – Keep accurate records of expired and active gift cards.
