How to Download & Understand the Order Line Items Report

The Order Line Items Report provides a detailed breakdown of all online and in-store orders, including orders containing multiple items. This report helps track order fulfillment details, customer information, and applied promotions.

You can download it as a CSV file and open it in Excel or similar programs to analyse the data.

How to Download the Order Line Items Report

  1. Log in to your Toggle account.

  2. Click Data in the sidebar.

  3. Select Order Line Items.

  4. Click the calendar icon and choose a date range (based on order creation date).

  5. Click Add to queue to generate the report.

  6. Once ready, hit the green download button to save the file.


What’s in the Order Line Items Report?

This report contains details of all purchases, including:

  • Order tracking – Order IDs for tracking individual transactions.

  • Line item details – Breakdown of each item purchased within an order.

  • Fulfillment data – Delivery method, recipient details, and tracking numbers (if applicable).

  • Discounts & promotions – Any discounts or promotional offers applied.

  • Tax & age verification – Sales tax information and age-restricted purchases.


Key Data Fields Explained

Order & Customer Details

  • Order ID – Unique identifier for the entire order.

  • Line Item ID – Unique identifier for each item in the order.

  • Purchaser Name – Name of the person making the order (online orders only).

  • Purchaser Email – Email address of the purchaser.

  • Purchaser Phone Number – Contact number (if enabled for online orders).

  • Order Created Date – The date and time the order was placed.

Product & Pricing Information

  • Line Item Value – The price of the purchased item.

  • Product Name – The product’s name, as listed in your Toggle dashboard.

  • Product Option – Any sub-category selected during purchase (if applicable).

Fulfillment Details

  • Fulfillment Method – How the item was delivered (email, post, in-venue, or pay-it-forward).

  • Fulfillment Name – Name of the recipient (if applicable).

  • Fulfillment Email – Email address of the recipient for digital orders.

  • Fulfillment Address – Street, city, postcode (for postal orders).

  • Fulfillment Postage Type – The delivery option selected.

  • Tracking Reference – Tracking number for postal orders (if available).

Order Status & Customisation

  • Personal Message – Any message the purchaser included with the order.

  • Order Status – Whether the order is dispatched, pending, or cancelled.

Discounts & Promotions

  • Transaction Promotions – Any promotions applied.

  • Transaction Discount Type – Type of discount (e.g. Free of Charge).

  • Transaction Discount Value – The value of the discount applied.

Additional Order Details

  • Merchant Transaction Reference – Payment gateway reference for online purchases.

  • Sales Tax – Any applicable tax percentage.

  • Age Verified – Whether age verification was required and confirmed.

  • Track Orders Efficiently – Use Order IDs to find transactions.

  • Monitor Fulfillment – Ensure postal orders have tracking and correct addresses.

  • Analyse Sales Trends – Understand product sales and promotions used.
