How to connect Datasym / DBE with Toggle

Follow this guide to allow Toggle gift cards to work on your Datasym / DBE tills.

Note: Only Store Owner users can create the API on Step 2.

Step 1: Add your site(s) on Toggle

The sites you'll be redeeming gift cards at need adding to Toggle. This step might already be done, but it's worth checking.

  1. Log in to Toggle

  2. On the sidebar click Settings > Site Settings and click Add site

  3. Add the site name, its address, and any number or reference for it

  4. Click the green Add button to save the site

Repeat this step for however many sites you need to add.

Step 2: Create an API on Toggle (and get product ID and Account ID)

  1. Log in to Toggle

  2. On the sidebar click Settings > Integrations > Datasym / DBE

  3. Click create new user

  4. Copy the API username and then copy the password to this spreadsheet

  5. Once copied across press Create to save the API*

⚠️ *Once you click create you can't retrieve the API password again. If you accidentally created the API without noting it down the password just re-start the above steps to make a new one.

🧠 You only need one API for your Toggle account that can be used at all your sites that use Datasym / DBE.


Example below of creating the API username and password:

Product ID and Account ID

You'll need to send Datasym / DBE your Toggle product ID and Account ID along with the API. You can add these to the same spreadsheet.

Your in-store product ID is found on Shop > In-Store Gift

Your Account ID is found on the account details section of your dashboard sidebar.

After you have completed these steps your spreadsheet will look a bit like this -

The parts highlighted in blue shouldn't be edited or deleted - Datasym / DBE will use that info to complete their configuration later on.

Step 3: Send the API, product ID and Account ID to DataSym and ask for your POS References

You'll need to send the API username and password you created on Step 2 along with your in-store product ID and Account ID to your Datasym / DBE Account Manager.

Ask your Datasym / DBE Account Manager for your POS References during this stage too.

Just note that sometimes Datasym / DBE will ask you to create a POS reference instead - if that's the case you can simply make up a reference (unique number) you want for each site on Toggle on Settings > Integrations > Datasym and let your Datasym Account Manager know what they are so they can use the same numbers on their system.

Please also remember to:

🔐 Password protect your file containing the API for extra security when sending it to Datasym. Don't send the API username and password to Datasym within the email itself - hackers can potentially get hold of that info in the future.

One option here is you could password protect your file and text the password to your Datasym Account Manager to access the spreadsheet.

🧠 Keep your API filed saved somewhere secure on your device in case you ever need to refer back to it in the future.

Step 4: Add POS References to Toggle

Whilst your Datasym Account Manager configures your tills using your API details, add the POS References they sent you to your Toggle account.

(Or make up your own POS References for each site on Toggle e.g. 1, 2, 3 etc and let Datasym know what they are, so they can match them on their system).

  1. Log in to Toggle

  2. On the sidebar click Settings > Integrations > Datasym / DBE

  3. Paste in each ID to their respective site

  4. Save

The POS References allow the Datasym and Toggle system to know where a gift card was sold or redeemed at. Without these IDs in Toggle your integration won't work.

Step 5: Test the integration works

Once your Datasym Account Manager has confirmed they've configured your tills it's good to check vouchers do work.

We recommend you:

  1. Use the voucher code on the till to see if it works (e.g. redeem/reverse, and check balance)

🧠 Other people on your team may benefit from seeing how gift vouchers works during this stage.

❗If an error is flagged on the till, get in touch with Toggle and Datasym so we can help troubleshoot it.

The Datasym (DBE) set up

To get started, ask your DBE Account Manager to configure Toggle on your installation of DBE (Datasym) POS. They will enable Toggle Gift Cards on your POS system. Once the configuration is complete, Toggle Gift Cards will be available as a payment method on your POS.

If you are managing the configuration of your POS installation, follow the steps below.

DPOS SQL Setup (Self managed configuration only)

Please note: The below instructions only apply if you are configuring your own POS system. Otherwise, get in touch with your POS support who will handle this setup for you.

Toggle Gift cards are enabled by selecting Toggle from the dropdown list on the Gift Cards page of the DPOS SQL config editor:

This will display all the config fields below that need information entered to complete the setup. Refer to Step 2 and 3 of the DBE: Connecting your tills with Toggle guide to get these details.

The currency will be GBP.

The POS Reference needs to be the same one that you enter when you configure your sites in Toggle. So you can make one up, as long as you use a unique reference for each of your sites, if you have more than one.

DPOS SQL Database (Self managed configuration only)

You will need to ensure the Gift Card MOP (Method of Payment) is enabled in the MOPS table of the DPOSQL database. If you want the values taken on gift cards included in the z-read you will also need to set the IncludeInDrawCount column to ‘True’.

Stockade (Self managed configuration only)

To set up a button to sell a gift card you will need to add a new button to the till via the schema editor (Maintenance > POS Buttons).

The button type is ‘Gift Card’ and in the data field you can enter the value. e.g. 10 = £10. This allows you to sell preset gift card values (e.g. £10 Gift Card). However, if you want to allow open priced gift card, then leave the data field blank.
