How to download and use the Cards report

The Cards report is a downloadable CSV file that can be retrieved from the Data section of your Toggle dashboard.

Use this report to find out all your sales for gift cards and experiences on your online Toggle shop and in your stores within a specific time period.

Read on to find out more.

Note: Sales for Retail products, Tickets and Pay-it-Forwards do not appear in this report.

How to download the Cards report

  1. Log in to your Toggle account.

  2. Click Data on the sidebar.

  3. Then click on Cards on the sidebar.

  4. Click the calendar icon and choose a date range (this will pull sales made within that date range).

  5. Click Add to queue to generate the report (it'll show as pending to begin with)

  6. Once ready, hit the green download button to save the file.

Click the green download button once the report has finished processing.

Note: sometimes the download takes a few seconds and other times a few minutes - depending on the amount of data on the report.

You will then see a CSV file downloaded onto your desktop.

Click onto this to access the report within the spreadsheet program you use (e.g. Microsoft Excel, Google Sheets, Apple Numbers etc).

What's in the Cards report?

There's 24 columns found in the Cards report. Here's a brief outline:

Columns A to G...

Column A - "Card ID" - This is an identification number for the gift card, however it's something only the Toggle support team can use to search the card on the Toggle database in the back office, if needed.

Column B - "Creation Date (UTC)" โ€“ This shows the date and time the gift card was purchased, in UTC format.

Column C - "Card Unique Code" โ€“ This is the 19 digit unique code used by the customer to redeem their gift card. The hashtag (#) is used here, and on Column D and E, to prevent the numbers truncating on your spreadsheet program, such as Excel.

Column D - "Unique Code Alias" โ€“ If we have imported any gift card codes from a previous vouchering platform you used we have this column to show their codes to help you locate them more easily.

Column E - "Pin number" - The pin number is included on all digital gift cards sent by Toggle and printed onto any physical cards you print with us. This pin is used by customers who want to check their balance or register their gift card.

Column F - "Gift Name" - This is the name of the gift card the customer purchased. This is based on the 'Product name' you set on the Shop section of your dashboard. If a product was purchased in your venue, it will be labelled as "In-store gift".

Column G - "Order ID" - The order number is generated every time a gift card is purchased online or in-store. It can be useful for you to help locate a spefifc

Customer enquiries

Quickly look up a gift cardโ€™s status when a customer asks about their balance or expiry date.

Tracking usage

See how many cards are still active and what balances remain unspent.

Sales and redemption insights

Analyse trends in gift card sales, usage, and expiry rates to inform marketing or promotional strategies.

Liability reporting

Understand how much outstanding balance is still available on issued gift cards.
