Where can I download a report on Toggle?

You can download reports on Toggle from the Data section found on the sidebar.

There's a variety of reports available to download - each one contains different data.

Who can download a report on my Toggle account?

Only users who have certain permissions can access the Data page of your account to download reports. Those user roles are:

Store Owners

Store Managers

Financial Manager

Guest Service

You can also see the name of the user who downloaded a report ('Requested by') on your account including the type of report and the time the download is available until, like shown in the example below.


Can I log out or click away from the Data page when processing a download?

Yes - you can log out or use other parts of the Toggle dashboard while a report is processing - it won’t interrupt the download.

Please note that processed reports on your account will disappear after 24 hours - so don't forget to download it to your desktop when it's ready!


I can't find the report I downloaded on the dashboard?

Toggle reports automatically disappear after 24 hours from your Toggle dashboard on the Data section - if you didn't get round to downloading the report to your desktop you'll have to re-download the report from the dashboard.

When there's no reports to download to your desktop, you'll see a 'No exports found' message on your dashboard.


I can't find the report I downloaded to my desktop?

If you clicked the green download button on the dashboard you should find the report on your desktop in the Downloads folder. If not, re-click the green download button to help locate it.

Why are there multiple files in my report?

If your report has over 10,000 rows, Toggle splits the data into multiple CSV files (like shown in the example image below).

We recommend you open all the CSV files and copy the data (e.g. using the Ctrl + A function if using a Windows device) from the files into a new spreadsheet so all the data is together.


Why is my download still pending?

If you have selected a long date range (e.g. 12 months) or you have sold lots of gift cards, your report may contain thousands of lines of data that needs to be processed. This'll mean the report will take longer become available - sometimes a few minutes, but sometimes could be a couple hours.

If Toggle is busy (e.g. end of the month when other accounts on the system are also downloading their reports), reports may also take longer to process.


Why can't I download more than 12 months at a time?

If you try to select a date range of more than 12 months (365 days) you will get an error saying "Selected date range exceeds maximum of 365 days."

This is to prevent overload on the Toggle system from large downloads across all accounts and to lessen the chance of your download from failing.

Try downloading your reports in smaller time frames.


My download says it's failed?

A failed report is usually due to:

  • Too much data: Try downloading in smaller date ranges (e.g. January to March, then April to June etc if you're trying to download a whole year of data).

  • System traffic: High demand can cause failures. Try re-downloading later on.


Why can I only download the Orders report?

When you click on Data on the sidebar, you are automatically selecting Orders - sometimes without realising it!

Just make sure to click the report you want from the sidebar (e.g. Discounts) before trying a download (the report you select will be highlighted slightly, as seen in the example below).


I've selected today's date for download, but no data is showing?

At the time of writing, if you select only today's date for download, no data will show on the report you download - even if you have had sales or redemptions today.

To get around this, just select yesterday's date and today's date and the data for today will pull through.


Why is there a hashtag on the gift card numbers?

Toggle gift card numbers are 19 digits long - this means spreadsheet programs like Excel truncate the number to condense it - which is a problem when you're trying to locate a gift card or reconcile your reports.

So, Toggle includes a hashtag at the start of each number to prevent this from happening.

How can I view the data on the report more easily?

There's lots of things you can do on Excel such as formulas and pivot tables etc - we recommend you search for guidance on this on other guides online.

To get you started with your report, once it's opened on Excel, is to spread the columns out so the data is viewable/readable.

You can also add filters to the headers to condense your data if needed.
