How to customise and preview emails

Find out how to create the emails your customers receive.

On your Toggle dashboard there are four emails you can customise.

They are found on the Customise section and are labelled as Gift Email, Receipt Email, Reminder Email, and Dispatch Email.

The Gift email

The gift email is the digital voucher a customer receives and it contains the long number to redeem the balance of the voucher.

On this email you can add more information, including:

  • The Subject line that's seen in the inbox

  • Instructions on how to redeem the voucher

  • Company description to give your brand an introduction

  • A call-to-action button to direct customers to your website

The Receipt email

The receipt email is what the customer gets when they have successfully placed their order on your Toggle shop. This email will re-cap what item(s) they purchased and their value.

On this email you can add your own thank you message and include any contact information should the customer need it.

The Reminder email

This reminder email is sent to a customer when their gift voucher is due to expire soon and it's meant to remind them to use it before it's too late.

The contents on this email is mostly the same as what's in the Gift email - it'll have the long number to redeem it. You can also add your own copy such as instructions on how to redeem the voucher and a call-to-action button.

The Dispatch email

The dispatch email is sent to the customer (who placed the order) confirming their order is on its way. This email will show the items in the order that are being dispatched and any tracking reference included in the order will be added too.

On this email you can add your own message for customers to read such as thanking them for the order and how to track the order, if tracking is available.

How to preview the emails

When you are editing these emails you will see a blue Preview email button in the top right corner of the page - click this and you will see the format and structure for the email.

Please note that some details do not get pulled into this preview such as images or product name. The best way to see exactly how your emails (especially the gift email and receipt email) is to issue a free of charge voucher to your own email - so you can see how it looks and reads when it lands in your inbox.

The image and product name that is included on the live email is based on the product you send to yourself. The image and product name is edited on the Shop section of your dashboard, if needed.


Can I see and edit the cancellation email?

At the moment the cancellation email is hidden from the Toggle dashboard and cannot be edited or stopped. The cancellation email is sent automatically when you cancel an order from your Toggle dashboard - the customer who placed the order will get that email.

The cancellation email's subject line will always be: "Order cancelled" and the reply-to email address is a no-reply email from Toggle. We'd recommend you include on your Receipt email and Dispatch email some basic contact information so they know to contact you directly.

Note: Cancelling an order doesn't refund the customer - refunds are always done separately on your payment gateway. More info about that here: How to refund an order

Colours on the emails

Go to Customise > Colours to pick the colours that'll appear on your emails. Look out for Page colour, Button colour, and Email footer text colour.

Just remember that these colours also show up on the front end of your Toggle shop.

Images on the emails

To edit or change the image that pulls through to the gift email this is done on the product config on the Shop section of the dashboard.

It's the first image that's uploaded to the product that appears on the email.

Apple Wallet and Google Wallet

If you use Stripe, have a custom domain set up, and have a thumbnail logo setup then Apple and Google wallet will also show on the Gift email.

This gives your customers the chance to store their voucher on their digital wallet when they redeem it later on.
